Epsilon Sigma Phi – Alpha Omicron Chapter

Board Minutes

February 24, 2009

Attendance:  Vicki Lewis, Nancy Kadwill, Martha Gregory, Tom Walker, Karen Vines

Vicki called the meeting to order at 10:00 am.
Minutes were approved as posted to the website.

Past President’s Comments:  Karen Vines
Extension annual conference is being planned for November 4-6, 2009 in the Harrisburg area.  Chairs of the planning committee are Mike McDavid and Jeff Hyde.  The ESP representatives to the PA JCEP group will be the past-president, president, and the annual meeting chair.
Secretary’s Report:  Martha Gregory
                Newsletter deadlines were set for March 13 and September 1.  Martha will request articles from the general membership listserve.  Address changes for several retirees were submitted to the national office.
Treasurer’s Report:  Tom Walker
                Checking Account Balance= $4,431.50; Savings Balance = $5,394.58          
Martha requested support from the budget to cover mailing cost of the newsletter to state retirees.
                Discussion on $40 vs $45 for first year members reflects a discrepancy in what PA collected versus what was sent to national for dues.  Tom moved that the state membership fee for first year members be updated to reflect the actual fees charged for national dues ($45) for 2010.  Seconded by Karen.  Motion approved.  Vicki will notify Peter to update the dues forms.
                Cost of Life Membership:  Members may elect to receive a Nittany lion statue ($90 value) or have that amount applied towards the cost of the life membership dues.
Vice President’s Report:  Nancy Kadwill
                Committee chairs – continuing to fill the chair and co-chair positions.  Committee chairs should be asked to review documents posted to the state website and update submission information and due dates for 2009.  Scholarship information should be shared through JCEP so that other associations are aware of deadlines for scholarship submission.
President’s Report:  Vicki Lewis
                2008 Award applications were submitted to national in February.
                Vicki presented the chapter report during the JCEP regional meeting in Orlando.  Many states shared grim reports on funding for extension.  Eight representatives attended from the various PA associations.  The meeting included speakers, business meetings, group meals, and an evening trip to Epcott Center.  2010 & 11 regional JCEP meetings are planned for Pennsylvania location.
                National Meeting will be held in Fargo.  Check website for pre-tours.  There is no pre conference this year.  Room rates will be very reasonably priced.  Vicki plans to attend and will also submit a news article for the national ESP newsletter promoting the Extension Memories publication.
                Linda Cook is retiring as national director.

                Quickstyle guide on national webpage includes tips for using new logo and will be useful in printing certificates in the fall, letterhead, other info.

Important Dates:
                ESP Mini Grant application:  Nancy Crago was planning to resubmit a grant for financial management workshop.  Vicki will follow up with Nancy on this.
Chapter of Merit form due May 1.  Vicki will submit the paperwork for this award.
